FAQ About Be Well Features
Why can't I enter my steps manually?
Manual step entry is only available when your account is not synced to a device or app. If a device is connected, your steps sync automatically and the manual step field is disabled. You can still log activities, wellness metrics, photos, and journal entries.
Can other members or admins see my wellness metrics?
No. Wellness metrics are always private. Other participants and program admins cannot see the values you enter. Admins can only see whether an entry was made, not what it contained.
Are my step entries visible to others?
Yes. Step entries and converted activities are always public to support accountability across the program. This visibility cannot be changed.
Can I change who sees my photos and journal posts?
Yes. When adding a photo or journal entry, use the visibility dropdown (web) or the eye icon (mobile) to set the post to Anyone, Friends Only, or private. Posts set to Anyone or Friends Only appear in the Newsfeed.
How do I fix a mistake in an entry?
On mobile, go to the Tracking tab, find the entry by date, and edit or delete it. Adjustments to existing entries are made from the same place you view your activity log.
Can I convert an activity if my device is synced?
Yes. Activity conversion is available whether or not you have a device synced. However, if a device is synced, you cannot make a manual step entry — only activity conversions and other logged entries.
Are converted activities visible to others?
Yes. Step entries and converted activities are always public to maintain accountability throughout the program. This cannot be changed to private.
How does Be Well decide how many steps my activity is worth?
Be Well uses a built-in activity converter that calculates an equivalent step count based on the activity type and the number of minutes you enter.
Can I edit or delete a converted activity after submitting it?
Yes. Go to your Tracking tab (mobile) or dashboard (browser), find the entry by date, and choose to edit or delete it.
Do steps I took before the challenge started count?
No. Only steps recorded within the challenge's date range count toward your results.
What does the Total Step Goal represent?
It's the number of steps required to complete the challenge route, calculated from the daily step goal multiplied by the number of days in the challenge — not the physical distance shown on the map. This lets Be Well offer a wide variety of themed routes across different global locations.
How do I see how many steps another participant has?
Hover over a participant's name or their bar on the leaderboard to see their current step count for that challenge.
Why can't I see a Join button?
The challenge may be closed to registration, not yet open, or set up as a team challenge you can only join through a team. If you're unsure, contact your program administrator.
I'm in a team challenge but wasn't added — what do I do?
Ask your team leader to add the team, or become the team leader yourself if no one is assigned (a prompt appears at the top of the team page). Once the team is added, all members are enrolled automatically.
Can I be on more than one team at a time?
No. You can only be on one team at a time. To join a new team, leave your current team first.
Why can't I create or join a team?
Team creation and joining depend on your program's settings. If either option is unavailable, your program may not permit it — reach out to your program administrator.
Can I invite members or edit team settings from the mobile app?
Not currently. Team invitations and settings changes are only available in the browser interface. You can create a team in the mobile app, but you'll need to switch to a browser to invite members or edit team details.
If I join a team partway through a challenge, do my earlier steps count?
Only the steps you accumulate from the date you join the team count toward that team. Steps earned before joining are not transferred.
What happens to my steps if I'm removed from a team?
The steps you earned while on the team stay with the team for every day you were a member, except for the date you were removed.
Does my team page show the same dates as the challenge?
Not usually. Your team page tracks stats from the date the team was created, which is typically earlier than the challenge start date. Use the chart view with a custom date range to isolate challenge-specific performance.
Can I be friends with someone before they accept my request?
No. Friend requests are two-way — the other person must accept before you're connected in Be Well.
Where do I confirm a friend request sent to me?
Open your notifications and tap Accept to confirm. On mobile this is in your notifications; on the web it appears in your Friends area.
Can I filter my feed to see only my friends' activity?
Yes. Use the buttons above your Activity Feed to show only entries from friends, or only entries that include photos.
Do I need to be friends with someone to comment on their entry?
No. You can comment on any entry visible in your challenge feed by clicking the Comment button beneath the person's name.
Can I add photos to any post, or only challenge discussions?
Photos are added through the Challenge Discussion Board within a specific challenge, following the steps above.
Where do all the communication tools live?
All three — Send Email, Member Notices, and Questions — are in Admin Panel > Communications.
Can I preview a communication before participants see it?
Yes. You can send yourself a test email before sending, and use Preview Notice before publishing a notice. Previewing before you send is recommended for every communication.
Will everyone receive my email?
Emails are not delivered to participants who have unsubscribed from program emails. To reach a specific group rather than the whole program, use the Add Members Individually option with email addresses pulled from a downloaded report.
What's the difference between a notice and an email?
A notice appears inside the program on the participant's dashboard when they log in and stays visible for a set date range. An email is sent to the participant's inbox. Use notices for on-platform reminders and emails for direct outreach.
Can participants dismiss a notice?
Yes. A participant can dismiss a notice for themselves using the X in the top right after viewing it. You can also schedule notices to expire automatically on an end date.
Can a participant change their answer to a question?
No. Once answered, a response is saved and cannot be changed by the participant. Corrections must be made in your own records.
Do points earned from questions count toward a challenge?
No. XP earned by answering questions is tracked separately in the Questions report and is not included in challenge reporting or totals.
Can I edit a question from the Question Library?
Not directly. Duplicate it by creating a new question based on the library version, then customize the copy.
Do I have to create a challenge before participants register?
No, but we strongly recommend it. Having a challenge ready builds anticipation, and the themed poster and email templates help drive registration and participation.
How long should a challenge be?
A 2–3 week challenge followed by a rest period before the next one works well.
What daily step goal should I set?
It depends on your population's activity level. As a guide: sedentary or just-starting groups, 4,000–5,000 steps/day; moderate, 6,000–7,500; active, 8,000–10,000+. On an annual plan, start low and adjust for the next challenge.
How do participants join a challenge?
For an individual challenge set up before registration, participants are offered the chance to join during registration. For team challenges, joining depends on how teams are assembled. Existing participants or teams can be invited to join voluntarily or auto-added during Step 3 of the Challenge Builder. All members can forfeit a challenge.
Can I remove wellness questions after creating a challenge?
No. Once a wellness challenge is created, questions attached to it cannot be removed.
