Permissions in Be Well

Permissions in Be Well determine what users can view, send, and manage within the platform.

Your role controls whether you can log activity and join challenges, manage a team, or access program administration tools such as challenge creation, communications, and reporting. Some actions depend on your role. Here's how they break down:

Activity Tracking & Challenges

  • Participants can log activity, sync devices, join challenges, and view their own progress and dashboards.
  • Team Leaders can do everything a participant can, plus view progress across their team.
  • Administrators can view activity and challenge participation across the organization.

Creating Challenges

  • Administrators can create, configure, and manage standard, wellness, and team challenges, including setting dates, rules, and incentives.
  • Participants and Team Leaders can join challenges but cannot create or configure them.

Managing Teams

  • Participants can join, create, or leave a team where the program allows it.
  • Team Leaders can manage their team's details, invite members, and view team performance.
  • Administrators can access team management tools across all teams in the program.

Communications

  • Administrators can send notices, email members, and post questions through the program's communication tools.
  • Participants and Team Leaders receive these communications but cannot send program-wide messages.

Reporting

  • Administrators can access program, challenge, questions, and mental wellness reports, and export data for recordkeeping.
  • Participants and Team Leaders can view their own and, where applicable, their team's progress, but cannot access program-level reporting.

User & Program Management

  • Administrators can upload and manage users, configure program settings, and adjust privacy, milestones, and badge configurations.
  • Some of these settings are managed by Terryberry — contact your support team if adjustments are needed.

Role-based Access

Without administrator permissions, program configuration, reporting, and communication tools are not displayed or accessible. This prevents unauthorized changes to program settings or member data.
